GDPR (Data Protection) Flutterby Salon Client Privacy Statement
At Flutterby Salon we take your privacy seriously and we promise to respect the confidentiality of any personal data you share with us and we will always take every effort to protect your privacy. We pride ourselves on our honesty and openness and will always be clear how, when and why we collect and process your information; we promise we will never do anything with your details that you wouldn’t reasonably expect.
This privacy statement explains how Flutterby Salon will use any personal information we collect about both online and offline, as well as any electronic, written or oral communication.
WHAT INFORMATION DO WE COLLECT?
We collect information about you when you make an appointment, and when you arrive for your appointment. The information we collect about you can include your name, email address, phone number, date of birth and any relevant medical information.
Don’t worry we will ask for your consent first to keep this information and you can opt out at any time.
*Please note that if you decline this request you will be asked to fill in a new form before every visit, as we will not be retaining any of your personal or health information, the reason for this is to ensure you do not have any contraindications that we need to be aware of, failure to provide us with your Health information may result in refusal of an appointment.
HOW DO WE USE THE INFORMATION ABOUT YOU?
We collect information about you to ensure the smooth running of the Salon and for welfare reasons as necessary.
WHO WILL USE YOUR PERSONAL INFORMATION?
Only members of Staff at Flutterby Salon will be able to access and use your information. Appointment book Solutions developer (our online diary) will be able to access for maintenance of the site and to send your text reminders. Swippi our loyalty card App require you to opt in by replying to an email when you sign up in the salon, you will receive emails / newsletters from them on our behalf every month you can opt out of this at any time, by visiting their site.
ACCESS TO YOUR INFORMATION AND CORRECTION
We want to ensure that your personal information is accurate and up to date. Please contact us to correct information you think is inaccurate.
HOW LONG WILL MY INFORMATION BE HELD?
The information will only be retained safely for as long as is necessary. To comply with the law your personal and Health records will be kept for 4 years, Financial transactions 6 years, Emails, one year from the end of the month in which they were received or sent unless a longer period is relevant.
We will not sell, trade or share your personal information with any third parties nor will we send you mailings on behalf of other unrelated organisations. The only organisations affiliated to us are Swippi our loyalty card and Appointment book solutions who host our online diary and send our text reminders.

A new client record card will be in place from 25th of may 2017, when we will be asking all our clients to review and approve their personal and health information, and agree to how we store this information. Thank you for your patience.
